Flight Experts is one of the leading pacific travel agency groups. We collect, use and disclose personal information in order to perform our business functions and activities, which includes making and managing travel bookings on our customer;s behalf. We are firmly committed to protecting the privacy and confidentiality of personal information and data of our customers and stakeholders. We use all necessary safeguards to protect this information.

This Privacy Notice (“Notice”) sets out how this Flight Experts Group protects the privacy of your personal information. It applies to all individuals.

For the purposes of the General Data Protection Regulation 2016/679 (“GDPR”) and other similarly situated legislation we are a “data controller” (or equivalent) for the processing of personal information you provide to us in connection with: 

  • the provision of leisure travel products and services; 

  • for the purpose of all our marketing activities. 

    • our provision of business travel products and services; and 

    • event management services; 

There may be instances where your local data protection laws impose more restrictive information handling practices than the practices set out in this Notice. Where this occurs, we will adjust our information handling practices in your jurisdiction to comply with your local data protection laws.

What personal information do we collect?

Personal information generally means information which relates to a living individual who can be identified from that information, or from that information and other information in a person’s possession, including any expression of opinion, whether true or not, and whether recorded in material form or not, about an identified or reasonably identifiable individual, and any indication of intention in respect of an individual.
In General, the personal information we collect is the information that is needed to facilitate travel arrangements and bookings and to arrange travel related products and/or services for customers.  
 
Following are typical personal information we process:
  • Identifiers 

  • contact information (such as name, residential/mailing address, telephone number, email address);  

  • date of birth; 

  • passport details, national identity card details, driver’s license details;  

  • online identifiers (such as IP address, device data, and network information); 

  • loyalty program / frequent flyer details; 

  • Commercial Information, including records of products or services purchased, obtained, or considered, or other purchasing or consuming histories or tendencies; 

  • Biometric information; 

  • Audio (such voice recordings for quality control, service improvement, training and dispute resolution), electronic and visual information (such as video surveillance footage) used for security purposes,  

  • Professional or employment-related information; 

  • Payment account information (credit/debit card details, including card type, card number, security number and expiry date and other financial details necessary to process various transactions);  

  • Health information such as your dietary requirements and health issues (if any); and  

  • Other details relevant to your travel arrangements or required by the relevant travel service provider(s) (e.g., airlines and accommodation or tour providers).  

Collection of Personal Information
 
We collect personal information for various purposes, including:
  • Contacting you about competitions you’ve entered
  • Responding to enquiries, complaints, or feedback
  • Conducting business activities, such as processing transactions
  • Other relevant information you choose to provide
Collection of Sensitive Information
 
In some cases, we may collect sensitive information, which may include:
  • Racial or ethnic origin
  • Religious beliefs or affiliations
  • Sexual orientation
  • Membership of political, professional, or trade associations
  • Biometric and genetic information
  • Passwords

Collection of Children’s Information
 
When necessary for travel arrangements, we may collect personal information about a child from a responsible adult. We do not knowingly collect information directly from children.

How we use your information in detail:

When you contact us about travel bookings or queries, we typically use your information to provide travel advice and help you book travel and related services. The specific reason for collecting your information might vary depending on the situation (e.g., if you enter a competition or provide feedback).

When you book travel through us, we often act as an agent for the travel provider (like a hotel). We use your information to provide the services you’ve requested, which includes sharing it with the provider so they can fulfill your booking. For example, if you book a flight, we’ll share your information with the airline.

We may share your information with travel service providers (hotels, airlines, car rentals, etc.) who will use it according to their own privacy policies. We encourage you to review these policies. We can provide copies of these policies upon request. Because we work with many providers worldwide, we can’t list them all here. For information about sharing data with overseas providers, see section 7.

Other reasons we process your information include:

  • Providing services and tools you choose to use (e.g., saving travel preferences).
  • Identifying errors.
  • Preventing and investigating fraudulent activity.
  • Meeting legal requirements.
  • Improving our products and services.
  • Managing our relationship with you (e.g., creating a customer profile).
  • Providing reports and analytics to your employer if you’re using our business travel services.

Sharing your information with third parties:

We do not sell, rent, or trade your personal information. We only share it as described in this policy and in accordance with applicable laws. “Disclosing” your information means sharing it in any way, whether verbally or in writing.

We may disclose your information to:

  • Our contractors, suppliers, and service providers (for the purposes described above).
  • Our related companies.
  • Travel service providers (airlines, hotels, etc.).
  • Anyone we transfer our rights or obligations to.
  • Financial institutions (for processing transactions).

When you book flights through us, we’ll share your name, email, and/or phone number with the airline so they can notify you of flight changes or disruptions. We do the same with rail providers when booking train journeys.

We will not disclose your information without your consent unless we believe it’s necessary to prevent a threat to safety, or for law enforcement purposes, or if required by law.

Our websites may offer features through third-party partners (like social networking or location tools). These third parties may use your information according to their own privacy policies, which we encourage you to review.

Data Security:

FLIGHT EXPERTS is dedicated to protecting your personal information. We use appropriate technical and organizational security measures to prevent your information from being accidentally or illegally destroyed, lost, altered, disclosed, or accessed without authorization. We regularly review and update our security measures to ensure your data is as safe as our own confidential information. However, we are not responsible for the security practices of third-party websites or services.

We will delete or de-identify your personal information when it’s no longer needed for our business or required by law.

Your Rights:

You have the right to:

  • Access: See what personal information we hold about you.
  • Update: Correct or modify your information.
  • Erase: Delete your information (under certain circumstances).
  • Object: Object to us using your information.
  • Obtain a copy: Get a copy of your information in a usable format.
  • Restrict use: Limit how we use your information.
  • Withdraw consent: Cancel any previous consent you’ve given us to use your information.
  • Data portability: Request that we transfer your data to another organization.

To exercise these rights, please contact us as described in section 15. We will acknowledge your request and respond within the timeframes set by law, although we may extend this period for complex requests or as allowed by law.

We may deny your request for reasons permitted by law (e.g., national security). If we do so, we will provide you with written reasons, unless it’s unreasonable to do so, and will record your request and our denial.

You also have the right to complain to a supervisory authority.

You must provide accurate information and keep it updated. We will assume the information you provide is correct unless we become aware otherwise.

You can opt out of marketing emails at any time by clicking the unsubscribe link in the email or by contacting us (section 15).

To protect your information, we may ask you to provide proof of identity before fulfilling your requests.

We may charge a reasonable fee for requests that are clearly unfounded or excessive.

Changes to our privacy policy
 
We may update this privacy policy from time to time. When we make changes, we’ll post the updated version on our website. We’ll also indicate the last update date at the end of the policy. Please check our website periodically for any changes, as it’s your responsibility to stay informed.
